Privacy Policy

Introduction

Global Consulting Services (Australia) Pty Limited ARN 58 002 872 264 ("Global Consulting Services") and our related entities are committed to ensuring the privacy of your information. We understand how important the privacy of your information is to you. We know that providing personal information is an act of trust and we promise to take it seriously. Unless you give us consent to do otherwise, Global Consulting Services (GCS) will only collect and use your personal information as set out in our Privacy Policy.

As such, GCS's privacy policy is intended to represent best practice. GCS are committed to promoting confidence in the manner in which we handle your personal information. In this regard we will act ethically and as evidence of this commitment we will comply with the Privacy Amendment (Private Sector) Act 2000 and National Privacy Principles set out in the Privacy Act 1988. The primary objectives of the NPPs are to:

  • Establish a nationally consistent approach to handling personal information;
  • Ensure that organisations that hold information about individuals handle and manage that information responsibly and;
  • Give individual some control over the way in which information about them is handled.

National Privacy Principles

The Ten National Privacy Principles (NPPs) that GCS are committed to ensuring the adherence of are:

  1. Collection GCS will only collect personal information that we need for the purpose of its collection. Generally this will be for recruitment ad selection purposes by potential employers, managing recruitment and human resources processes and any related purpose or where you have consented to the collection.
  2. Use and Disclosure GCS require you to provide certain personal information about yourself in order for us to provide advice to our clients for recruitment, selection and/or development decisions. We will not rent, sell or exchange information about you to third parties (other than related parties) except to your employers or potential employers, where you consent; where you would reasonably expect the information to be disclosed or where we are legally required to disclose such information.
  3. Data Quality GCS will take reasonable steps to ensure that the personal information we collect, use or disclose is accurate, complete and up to date.
  4. Data Security GCS will take reasonable steps to keep your personal information secure at all times. We will also take steps to reasonably protect your personal information from misuse and loss and from unauthorised access modification or disclosure.
  5. Openness GCS will be honest and open with you about the type of personal information that we collect about you and the actual use of any such information. If you require any details of the personal information held by us about you, then please contact our Privacy Officer.
  6. Access and Correction You may request access to the information we have collected about you and obtain a more in depth explanation about how the information used by contacting our Privacy Officer.
  7. Identifiers Generally speaking, we will not adopt, use or disclose an identifier that has been assigned by a Commonwealth government 'agency' such as a Tax File Number, Medicare Number, Driver's License Number or Immigration details.
  8. Anonymity GCS will give you the option to interact anonymously whenever it is lawful ad practicable to do so.
  9. Transfer of Data If any personal information you give us is transferred to a foreign country we will take reasonable steps to ensure we have appropriate protection or an equivalent to the standards set out in this privacy policy.
  10.    Sensitive Information GCS will not collect sensitive information unless you have consented; It is required by law; or Other special circumstances, for example, relation to heath services provision and individual or public health safety.

Collection of information by GCS

GCS endeavours to advise individuals of the purposes for which their personal information is collected, and of those third parties to whom the information is usually disclosed.

If we collect personal information, in particular sensitive information (as defined under the Act), we will treat it with the utmost security and confidentiality. We will ensure that it is not collected for any purposes, other than those for which we have obtained the individual's consent, unless the law requires otherwise, or other exceptional circumstances prevail as described under the Act.

Where an individual chooses not to provide requested information, we will advise that individual of what impact this non-disclosure may have. For example, withholding certain information may affect the individual's success in gaining employment with GCS.

Type of Information held by GCS Personal information collected and held by GCS usually falls into the following categories:

  • Candidate Information submitted and obtained from a Candidate and other sources in connection with applications for employment;
  • Candidate information submitted and obtained from a Contractor and other sources in connection with applications for contracting projects/assignments;
  • Work Quality Evaluation Assessments;
  • Information about incidents in the workplace;
  • Employee Records (Personal Information pertaining to Internal and External staff - as defined)
  • Information submitted and obtained in relation to absences from work due to leave, illness or other causes and;
  • Information obtained to assist in managing client and business relationships.

Distributing and Sharing Personal Information

Personal Information provided to GCS by our candidates and/or contractors is used solely for the purpose of career advancement. GCS will only disclose personal information to a client in circumstances where GCS deems it appropriate to do so. Such disclosure is always on a confidential basis and after the GCS Employee, GCS Candidate or Independent Contractor has provided a written or verbal consent.

GCS may however, disclose personal information where GCS is under a legal duty to do so, including circumstances where we are under a lawful duty of care to disclose information.

Unauthorised disclosure or access to information

As GCS is committed to protecting the privacy of individuals, we will view unauthorised disclosure of, or access to, personal information by our employees, contractors or agents, as a serious breach of this policy. Appropriate action (which may include disciplinary or legal action) will be taken in such cases. 
Security

GCS aims to protect the personal information that we collect. Personal information will be managed confidentially and securely and destroyed appropriately when no longer required. We will monitor and implement appropriate technical advances or management processes, to safeguard personal information. 
Data Quality

GCS will take all reasonable steps to ensure that the data we collect, use or disclose is accurate, complete and up to date, and has been obtained directly from individuals or other reputable sources.

Accessing Candidate Information

In the event that a candidate would like to request access to their file on our recruitment database, they are welcome to contact our Privacy Officer on (03) 9347 3055. Forty-eight hours notice should be provided to view the file. An appointment will be coordinated with the Privacy Officer and the relevant Recruitment Consultant will take the candidate though their file and all relevant details.

Exemption

Individuals will be able to access their personal information upon request. However, GCS may deny access to information in accordance with the exemptions contained in the Act.

The handling of employee records in relation to current and former employment relationships is exempt from the National Privacy Principles.

To be exempt, an act or practice relating to the employee record must be directly related to the employment relationship.

"Employee Records" include information such as, training records, disciplinary matters, health information, performance records, salary information, superannuation and taxation matters.

Employee Records held by GCS include the following:

  • Practitioners: those individuals who are engaged by GCS and then placed on assignments to perform work at a Client site and;
  • Internal Staff - employees engaged internally by GCS.

Updating candidate information

After viewing your file if you wish to change, delete or update any details, you are welcome to attend a second interview with a Recruitment Consultant and together re-assess the skills and details documented.

Deleting candidate information

If you wish to have your current personal details deleted from GCS's internal systems and database, then please send an Email to resume@gcsgroup.com.au  with 'delete my personal details' in the subject line, with your full name and State of residence. This will be performed within 14 days of receiving your request.

Email

GCS may save any Email that you send under the following circumstances:

  • If GCS believes that it has a legal requirement to do so;
  • Where resumes (or associated personal information) have been sent to GCS by an individual for the primary purpose of seeking employment with GCS and their clients and;
  • Where the content of the Email is suspected to threaten security or is in breach of GCS policies and/or standards.

Inquiries and Complaints

The handling of personal information is of extreme importance to GCS. We are committed to providing you with a fair and responsive system for handling and resolving complaints concerning the handling of your personal information. If at any time you wish to lodge a complaint on respect of the handling, use or disclosure of your personal information by us, you may do so my contacting our Privacy Officer.
